Terms and Conditions version from 4th May 2023

By registering for and/or attending an Offline Event (live in-person) or Online Event organised by Euro Petroleum Consultants, you are agreeing to, and accepting of, the following Terms and Conditions.

TERMS AND CONDITIONS FOR OFFLINE EVENTS

Registration Fee

This includes attendance at the Event’s conference and exhibition, documentation, lunch, coffee breaks, cocktail reception(s) (if applicable) and gala evening(s) (if applicable). Your travel costs, hotel accommodation and any other costs are not included in the registration fee.

Payment

Payment is due within 30 days of the invoice date or immediately if less than a month before the start of the Event. Payment is due after the deduction of any bank charges. Full payment must be received by Euro Petroleum Consultants in order to guarantee entry to the Event. Payment may be made by either bank transfer or credit card.

For credit card payments, we can only accept Visa and MasterCard. AmEx is not accepted. The name of the delegate should exactly match the cardholder's name.

Accommodation

Hotel accommodation is not included in the Registration Fee. However, we usually negotiate special rates for our delegates with the Event venue. Your Event registration confirmation email will provide instructions on how to book a room at the hotel.

Conference Language

The Event language will be English.

Visa

If you should require a visa for your entry to the country of the Event, please note that we do not provide the visa itself but we are able to assist with supplying visa invitation letters to support the completion of your application. In many cases, you will need to apply for a tourist visa only. Please check your registration confirmation message for further information and allow plenty of time to apply for your visa.

Third Party Seminars

The seminars are organised by Euro Petroleum Consultants on behalf of the hosts. In order to confirm your registration at the seminar, the organiser will share your details with the host for approval to attend.

Cancellations and Refund Policy

Cancellations made one month prior to the Event will be refunded in full, minus an administration charge equivalent to GBP 200 for Events with rates in GBP; USD 250 for Events with rates in USD; EUR 250 for Events with rates in EUR. We regret that cancellations made less than a month before the Event cannot be refunded or credited. Substitutions may be made at any time. In cases where a refund is agreed, the amount will be refunded via the original mode of payment.

Photography/Videography/Media

By registering to attend the Event, you consent to the official Event photographer/videographer and any local or national media/press in attendance taking such materials, which may feature the participant and/or his/her guest(s), and the use of such materials in future marketing material and post-event publicity. If the delegate or any of his/her guest(s) object to this, they must notify the organiser prior to the Event.

Disclaimer

Euro Petroleum Consultants reserves the right to alter the content and/or timing(s) of its programmes and speakers although this happens rarely. Euro Petroleum Consultants is not responsible for the content of presentations or the views expressed by third parties.
Euro Petroleum Consultants will not deal or provide any services or products to any of OFAC sanctions countries in compliance with the law of UAE.

Copyright for Events

All copyright, trademarks, techniques, models, processes, methodologies, know-how and other intellectual property rights contained in the materials supplied by Euro Petroleum Consultants shall at all times be and remain the exclusive property of Euro Petroleum Consultants.
All copyright, trademarks, techniques, models, processes, methodologies, know-how and other intellectual property rights contained in the materials supplied by speakers and exhibitors shall at all times be and remain the exclusive property of the companies represented by the speakers and exhibitors.

Data Protection

Euro Petroleum Consultants may require personal information (including contact details) about representatives during the booking process and Event to ensure that the requirements of representatives are met at the Event. This information shall be collected and used in accordance with Euro Petroleum Consultants Privacy Policy.
The parties who agree to share their data or receive shared data, shall comply at all times with their individual obligations under the Data Protection Legislation and Privacy Laws (including any notification requirements thereunder).
Euro Petroleum Consultants shall, in respect of shared data, ensure that their privacy notices are clear and provide sufficient information to Event attendees in order for them to understand what of their Personal Data are being shared, the circumstance in which it will be shared, the purposes for the data sharing and either the identity with whom the data is shared or a description of the type of organisation that will receive the personal data.

Compliance with local legal requirements:
Depending on the location of an in-person Event, EPC as the Event organiser, may be legally required to share delegate details (e.g. name, nationality and contact details) with the relevant authority to comply with local laws.
e.g. Due to legal requirements, entry tickets to all events in Dubai must be supplied by Dubai’s Department of Economy and Tourism (DET) e-ticketing service. DET is the principal authority for the planning, supervision, development and marketing of tourism in Dubai. For our Events held in Dubai, DET requires Euro Petroleum Consultants DMCC, as the Event Organiser, to provide delegates’ details such as, but not limited to, name, email, mobile number, nationality etc, and, where applicable (i.e. for event speakers), passport details and Emirates ID. If you have further questions about the DET e-ticketing service they can be contacted on etix@dubaitourism.ae.

Event App

Where the Event uses a third party app and you choose to use this function, you will be required to create an Account with the third party directly and agree to the relevant terms and conditions accordingly.

Where the Event uses the Euro Petroleum Consultants app and you choose to use this function:

  • An Account will be created for you based on the information details provided by you during the registration process;
  • You will be required to verify the information is correct and confirm which details you agree to be visible to other attendees on the Event App;
  • You will be solely responsible for all activities performed via the Account including, but not limited to, keeping password confidential and ensuring all actions are lawful and truthful. If you believe your password has been compromised, please contact us immediately at events@europetro.com.
  • You are solely responsible for the electronic device you choose to access the Event App through and related matters such as internet connection, antivirus etc. Euro Petroleum Consultants will not be liable or responsible for any losses or damages arising from the use of the Event App, including but not limited to malfunctions, technical defects, malicious software and third party links, apart from where applicable law does not allow the limitation or exclusion of certain damages.

Force Majeure

Euro Petroleum Consultants is not responsible if the Event is cancelled or delayed due to force majeure.
Please note that in case of force majeure, Euro Petroleum Consultants is relieved of all obligations. Force majeure includes any circumstances beyond the will of Euro Petroleum Consultants such as war, serious threat of war, terrorism, strikes, revolts, transportation difficulties, fire, flood, drought, pandemic or other natural disasters and severe disturbances affecting Euro Petroleum Consultants or its suppliers.

Laws

These Terms and Conditions are governed by and construed in accordance with the laws of England and Wales and United Arab Emirates and each party irrevocably agrees to submit to the exclusive jurisdiction of the English for international Events and the Dubai International Arbitration Centre for Middle East Events accordingly in case of any disputes.

FOR ONLINE EVENTS

Payment

Payment must be received in full in order to reserve a place on the Event. Payment is due after the deduction of any bank charges. Payment may be made by either bank transfer or credit card.

For credit card payments, we can only accept Visa and MasterCard. AmEx is not accepted. The name of the delegate should exactly match the cardholder's name.

Third Party Seminars

The seminars are organised by Euro Petroleum Consultants on behalf of the hosts. In order to confirm your registration at the seminar, the organiser will share your details with the host for approval to attend.

Cancellations and Refund Policy

No refund will be given in case of cancellation by the participant, but deferment to later Event date or another Event shall be applied. If Event does not go ahead, a full refund will be given. In cases where a refund is agreed, the amount will be refunded via the original mode of payment.

Conference Language

The Event language will be English.

Disclaimer

Euro Petroleum Consultants has the right to cancel the Event due to circumstances beyond its reasonable control (which, for the avoidance of doubt, shall include insufficient numbers of bookings by attendees).
Euro Petroleum Consultants will not deal or provide any services or products to any of OFAC sanctions countries in compliance with the law of UAE.
Euro Petroleum Consultants reserves the right to make changes to the published programme of the Event (including, but not limited to, changes to the number of speakers, timings, venue or date) at any time and does not guarantee the quality or content of the Event or the number of attendees.
The views and opinions expressed by any speaker or attendee at the Event are their own. Euro Petroleum Consultants shall not be responsible for any advice given or view expressed by any speaker or attendee at the Event.

Recording, Sharing Information and Copyright for Virtual Events

The Event may be recorded by the moderator. This means that the audio-visual and chat/Q&A section of the Event will be recorded and will be made available through the online platform, but only for the express and sole use of those registered on the Event. If you do not want to be recorded, please turn off your audio or video, or both. No other recording of the sessions is permitted. The sharing, altering, or distorting of any audiovisual capture of a session is strictly not permitted.

All copyright, trademarks, techniques, models, processes, methodologies, know-how and other intellectual property rights contained in the materials supplied by Euro Petroleum Consultants shall at all times be and remain the exclusive property of Euro Petroleum Consultants.

All copyright, trademarks, techniques, models, processes, methodologies, know-how and other intellectual property rights contained in the materials supplied by speakers and exhibitors shall at all times be and remain the exclusive property of the companies represented by the speakers and exhibitors.

Recording, Sharing Information and Copyright for Training Events

The Event may be recorded by the trainer or moderator. This means that the audio-visual and chat/Q&A section of the Event will be recorded and will be made available through the online platform, but only for the express and sole use of those registered on the Event. If you do not want to be recorded, please turn off your audio or video, or both. If you turn off your audio, you may still be required to participate by means established by the trainer. No other recording of the sessions is permitted. The sharing, altering, or distorting of any audiovisual capture of a session is strictly not permitted.

Event Platform and Service

Where the Event is held via a third party platform, you will be required to create an Account with the third party directly and agree to the relevant terms and conditions accordingly.

Where the Event is held via the Euro Petroleum Consultants platform:

  • You will be required to verify the information is correct and confirm which details you agree to be visible to other attendees on the platform;

Euro Petroleum Consultants may use photographs, logos or quotes from previous Events or current Events to publicise, including marketing through the Euro Petroleum Consultants website and social media channels.
